We collect information necessary to provide the route optimization service and manage your account:

• Account Information: Email address, password (securely hashed), and billing details (processed externally via Stripe).
• Optimization Data (Logistics): Delivery and pickup addresses, latitude/longitude coordinates, optional customer names, package dimensions/volume, weight, and delivery time windows.
• Fleet Settings: Vehicle types, capacities, maximum route durations, driver names, and vehicle assignments.
• Technical Data: Cookies strictly necessary to keep user sessions active and remember your language preferences.

2. How We Use Your Data

We use your information exclusively for the following purposes:

• To process and calculate optimized delivery routes via our optimization engine (RouteHub API).
• To display maps, route geometries, and navigation paths on your active dashboard dashboard.
• To manage your active subscription plans, limits, and service billing.
• To provide technical support and respond to performance queries.

3. Service Providers and Third Parties

We do not sell or rent your data to third parties. To provide our service, we share data with strictly necessary subprocessors under confidentiality agreements:

• Optimization Engine (RouteHub API): Where optimization algorithms and fleet balancing operations are calculated.
• Payment Gateway (Stripe): For subscription handling and invoicing. Vepathos does not store your credit card information.
• Map and Geocoding Services: To convert text addresses into coordinates and draw path lines on the mapping interface.

4. Data Retention and Control

We keep your data as long as your account is active or as required by your subscription plan. Optimization runs history is kept temporarily based on your plan's retention limits.

You retain full control over your data. You can delete stops, vehicles, fleets, and drivers at any time from your dashboard. If you choose to close your account, we will permanently delete your associated data from our active servers within 30 days.

5. Data Security

We implement industry-standard technical and organizational measures (SSL/TLS encryption, secure database storage, and restricted access protocols) to protect your data against unauthorized access, loss, or alteration. However, no transmission method over the Internet is 100% secure, and we cannot guarantee absolute security.
